Tebra Patient Payment Processing

Purpose This SOP outlines the available patient payment processing options in Tebra, defines the activation procedures, and ensures practices use the correct method efficiently and securely.
Scope This procedure applies to all practices using Tebra to collect patient
payments through integrated electronic payment solutions.

 

1.  Tebra Payments

 

Tebra Payments is Tebra’s native solution for processing patient electronic payments.

  • Description: Enables practices to collect outstanding balances faster and reduce time in accounts receivable.
  • Benefits:
    • Unlimited text and email balance reminders including a secure payment link.
    • Secure credit card payments processed directly through Tebra.
    • Automatic deposits into the practice’s bank account.
    • Online payment options, QR codes on mailed statements, and automated patient billing.

  • Activation Process:
    • Navigate to Settings > Patient Payments in Tebra.
    • Click Apply Now and complete the online application.
    • Provide required business, bank, and ownership information.
    • Upload supporting documentation.
    • Application review and approval typically takes 5–7 business days.
  • Pricing: Transactions processed via Tebra Payments are subject to 2.75% + $0.30 per transaction.

2.  Stripe (Patient Collect)


Stripe integration was the original payment processing option available through Tebra’s Patient Collect feature.
  • Description: Uses Stripe as a third-party vendor to process online credit card payments. Activation required creating or linking a Stripe account.
  • Benefits:
    • Balance reminders displayed on the Dashboard at patient check-in.
    • Secure credit card processing through Tebra with Stripe as the merchant processor.
    • Automatic deposits into the practice’s bank account.
    • Email receipts and unlimited text/email statements.
  • Activation Process (no longer available for new practices as of March 23, 2023):
    • Access Practice Settings > Tebra Patient Collect.
    • Accept pricing and patient portal terms.
    • Create or link an existing Stripe account.
    • Once approved, begin collecting payments.
  • Important Note: Stripe is now considered a legacy option. Practice is required to transition to Tebra Payments for new activations.
  • Pricing: Transactions processed via Stripe integration are subject to 2.9% + $0.30 per transaction.

General Terminology 

Payment Processor  A company that handles credit card transactions between the practice, the patient’s bank, and the credit card network
Merchant Account A type of business bank account that allows practices to accept and process credit card payments.
PCI Compliance Payment Card Industry standards that ensure secure handling of credit card data.
