STRIPE How-To (Kareo system)

The purpose of this is to show you how to check if your account is enabled

The purpose of this is to show you how to check if your account is enabled with STRIPE and how to make sure:

  1.  Check to ensure proper set up.
  2.  The patient portal is turned on to accept online payments and send notifications on balances due
  3.  The desktop application is configured to :
    1. send E-Statements to any patient with an email notification turned on.
    2. allow PFS to use portal to collect patient payments.

Fees for all PMB Clients are 2.3% + $0.30 per transaction. NO Monthly Statement fees!!

Stripe Merchant account agreements are between the provider and Stripe and do not involve us. We can only assist with activation steps to walk the customer through want needs to be done.

Check for STRIPE Enabled:

  • When enabled you will be able to run a credit card on any patient account. 

  • When NOT enabled you will see a place to enter card info for record keeping only. It will NOT process a payment. 

    • NOT ENABLED- screen will appear without the option to enter CC details. Any CC payment entered is NOT actually run as a credit card in Stripe and should be run elsewhere. This is only to enter the payment for record keeping.

    • You will also need to check the company record in Hubspot to make sure the Stripe information is accurate.

To Activate Portal:

  • go to “settings” in the PM
  • click on “Patient Portal”
  • If the portal is turned ON it will look like the screenshot to the right
  • If the portal is NOT on it will give you the option to check a box to agree to terms to activate the portal.
  • DO THIS if your customer wants online statements and payments.

Configure Desktop Application:

  • Turn E-statements on in the account by going to “settings”
  • Click “options”
  • Click “patient Statement options”
  • In “billing sequence” change the drop down to read “PRINT AND EMAIL CONCURRENTLY”.
    This allows all patient accounts with an email address and the check box marked “Send Email notifications”
  • Have your practice start collecting emails and check the box to notify patients by email that they have a bill ready for viewing online.

    The patient will create a login and log into STRIPE to view and /or pay the bill.

    NOTE: any box unchecked or no email address the statement will be dropped to paper.

  • For issues with Stripe acceptance of HSA or FSA patient payments:

    Please contact whomever signed up for Stripe at the practice and have them log into their Stripe account and submit a support ticket to STRIPE at this link: https://support.stripe.com/ . This support ticket needs to request to have the MCC card set up enabled so that credit card companies know they are a medical provider and that they payment they are processing is a "Medical Payment".
